Introduction

This Privacy Policy describes how Code Arhitekt ('we', 'us', or 'our'), the operator of MembEntry, collects, uses, and protects your personal information when you use our club management platform and mobile application (collectively, the 'Service'). Clubs that use MembEntry manage their own memberships, prices and payments and are responsible for the data they record about their members.

Information We Collect

• Account information (name, email, phone number, gender)
• Profile data you choose to provide (date of birth, address, emergency contact, fitness goals, preferred workout time, profile photo)
• Club membership and attendance data (club membership, check-ins, class bookings, notes you send to your club)
• Payment records entered by your club (amount, date, status); we do not process card payments
• Leaderboard display data (your name, avatar, visit count and streak), shown only if you turn it on in your profile
• Device push token and device type, used to deliver notifications
• Crash diagnostics (error reports with device and operating system information)
• The IP address of your device (in error reports and security logs)

How We Use Your Information

• To provide and maintain our club management services
• To record membership payments made at the club
• To track attendance and manage club access
• To show the club leaderboard to members of the same club, only if you turn it on in your profile
• To send notifications about your account and services
• To detect and fix errors using crash diagnostics, and to protect the service from abuse
• To communicate with you about updates to the Service

Information Sharing

We do not sell your personal information. We share your data only with: your club, for membership management (other members of your club see your name, avatar, visit count and streak on the club leaderboard only if you turn it on in your profile); and service providers that help us operate the platform, in these categories: hosting and infrastructure, email delivery, and push notification delivery through Apple and Google. Crash reports are sent to an error-tracking service that we operate ourselves.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. Your profile is anonymized immediately when you delete your account; backups containing it are overwritten within 30 days. We retain only historical club records that no longer identify you, as needed to comply with legal and accounting obligations, resolve disputes, and prevent fraud. Error reports, including your account identifier and IP address, are kept for up to 90 days.

Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.

Your Rights

You have the right to access, correct, or delete your personal information. You may also object to or restrict certain processing of your data. To exercise these rights, please contact us using the information below.

Managing your choices and deleting your account

You can withdraw your consent at any time. Notifications: turn them off in your device settings. Leaderboard: turn off "Show on leaderboard" in your profile in the app (it is off by default). You can delete your account in the app (Profile, then Delete account), or request deletion without the app on our account deletion page:
